    Why do I need an ETC Key?  
   

Technology classrooms, or TCs, on the West area of Campus are locked at all times and ETC Keys are required to access these rooms.

These rooms represent a major investment in teaching technology and security is a serious concern. Technology classrooms should be locked at all times, including the break between classes.

    Which rooms require the ETC Key?  
   

Generally, all Technology Classrooms on the West part of campus require an ETC Key. Exceptions will be noted on the detailed classroom description, found by following the link below.

Classrooms on the East part of campus currently require a different key; please contact Hope Thompson, CISAT 568-2760, for more information.

    How do I get an ETC Key?  
    You must have an active eID (the same JMU username and password used for JMU webmail) and submit the online request form, located here [insert HYPERLINK]  
     
    Do I have to fill out the form and pick up the key myself?  
   

As a faculty or staff member, yes, you must complete the form yourself. If you are a graduate level assistant, your supervising professor must complete the form on your behalf.

Faculty or staff members may send a student to pick up a key on their behalf but must provide Media Resources with a signed note of authorization and alert the student that they will be asked for photo identification.

If a key is for a graduate assistant, either the faculty/staff member or the assistant may pick up the key. The GA will need to advise the MR desk attendant that the key is listed under their professor’s name.

    What is the procedure for key issuance?  
   

-A request is submitted online by a faculty or staff member and received by Media Resources.

-University affiliation, Technology Classroom schedules, prior key status, and request conditions are considered before a key request is approved by Media Resources.

-The approved request is entered into the key database and a key is issued.

-The user receives a confirmation email that a key is ready for pick up. The confirmation includes the key number and due date for the newly issued key.

-Once this confirmation email has been received the user should come to Media Resources and pick up their key within 30 days.

-Media Resources may elect to send reminder emails regarding due keys, but ultimately the user is responsible for the renewal or return of their key (and keys issued to their graduate assistants) on or prior to the due date.

 
     
    How long can I keep my ETC Key?  
   

Keys are typically checked out according to the academic calendar, either for a single semester (Fall: August-December, Spring: January-May, and Summer: May-August) or for the academic year (August-August). Short term issue keys are reserved for specific academic event use and the check out period is assigned by Media Resources staff when a key is issued.

All keys must be returned directly to Media Resources on or prior to the assigned due date. Failure to return or renew a key will result in a non-refundable fine of $25 charged directly to the key user.

    Can I keep my ETC Key for longer than an academic year?  
   

Yes, but as a matter of security and to ensure the accuracy and consistency of our records you must renew your key each year. We have streamlined the online process to make it simple and quick to complete a renewal request.

All keys must be returned directly to Media Resources on or prior to the assigned due date. Failure to return or renew a key will result in a non-refundable fine of $25 charged directly to the key user.

    Can I lend my key to a colleague, student assistant, or anyone else?  
   

No, that is a violation of the ETC Key policy agreement.

 
     
    What if I forget my key at home?  
   

You may ask a colleague, departmental secretary, or building coordinator to let you in and lock the door after your class concludes.

    What if I lose my ETC Key?  
   

Lost keys must be reported immediately and directly to Media Resources with an explanation of circumstance. A lost or missing key will result in a non-refundable $50 fine charged directly to the key user. If a graduate assistant loses a key the supervising faculty or staff member will be held responsible for the lost key fine. Temporary key issuance, key replacement, and lost key fines are all handled at the discretion of Media Resources staff.

 
     
    Why is it so important to lock the classroom after my class ends?  
   

It is absolutely imperative that classrooms remain locked at all times when not in use: days, nights, weekends, and, of equal importance, times in between classes. Media Resources, Public Safety, and all faculty and staff work cooperatively to eliminate every risk of equipment theft or vandalism possible. Building layout on the West part of campus makes classrooms especially vulnerable to mischief and an open room is an invitation for vandals or other unwanted activity that can be easily avoided by locking the door.

Theft or vandalism of technology classrooms affects the entire JMU community. Media Resources can only succeed in preventing adverse impact on the teaching of your classes with your cooperation and vigilance.

    What if I have multiple graduate level student assistants?  
   

All special requests will be handled at the discretion of Media Resources staff.  Please contact a staff member to discuss your circumstance.

    What if I have a student assistant who is an undergraduate?  
   

It is not our standard policy to issue keys to undergraduate students. Please contact Media Resources to discuss your circumstance. All special requests will be handled at the discretion of Media Resources staff.

    If I am teaching in two buildings will I need two different keys?  
   

No, the ETC Key is designed to provide you access to any Technology Classroom on the West part of campus.

You should check the details of each room you will be teaching in to be sure it requires an ETC Key and test your key prior to your first class to be sure that it works properly.
