Hybrid Class Setup

While hybrid technology and settings may vary from classroom to classroom, this list of instructions is intended to assist with setting up meetings in designated hybrid classrooms.

1. Log in to classroom computer

Using your JMU eID, log in to the classroom computer. Once the desktop image loads, proceed to open and log into the Zoom application. The Zoom application can be found on the desktop, or by searching for it by selecting the ‘Windows’ icon at the bottom of the screen. Zoom will ask for you to go through the Okta verification process.

2. Selecting “Dual Displays” in Zoom settings (before starting Zoom meeting)

If you are in a room with two monitors, or a primary monitor with another screen on the back wall, you will be able to set up your meeting to allow for participants to be viewed on the second monitor (or rear display). Prior to starting your meeting, and after signing in to Zoom, open settings in Zoom and make sure to that ‘Dual Windows’ is selected. To do this:

Select ‘profile icon’ in top right corner –> ‘Settings’ –> ‘Meetings & webinars’ –> scroll down to ‘in-meetings and in-webinar experience’ –> ‘Display’ –> select ‘Dual Window’

This allows for the virtual participants to be moved to the rear display and second monitor in the classroom when sharing your screen in Zoom.

3. Pull up course materials (PowerPoints, Canvas page, videos, etc.)

After signing in to Zoom and changing the ‘Dual Window’ settings, open up any course materials you plan to use during the duration of your class. Since you have already used Okta to sign in to Zoom, Canvas should open to your account.

4. PowerPoint Settings

Prior to starting class, if you are planning on using PowerPoint in a hybrid class, ensure that ‘Presenter View’ is turned off and that monitor is set to ‘Primary Monitor’. To do this:

Open up your PowerPoint Presentation –> go to the ‘Slide Show’ tab –> deselect ‘Use Presenter View’ –> select ‘Primary Monitor’ from the drop down menu for ‘Monitor’

Changing this will allow for your main presentation slides to be shown on the projector screen (as well as the shared screen in Zoom), while also seeing the virtual participants on the rear display and second monitor (if room has one). If this step is not done, then ‘Presenter View’ (PowerPoint notes) will go over top of the virtual participants Zoom page on the second monitor/rear display.

5. Start Zoom Meeting

At this point, you can proceed with starting your Zoom meeting. After starting your Zoom meeting, it is recommended – and good practice – to check your video, microphone, and speaker settings. Make sure ‘HD’ is selected for video, and go ahead and test your speakers and microphone prior to starting class. Please note that these settings may change, so it is good practice to do this every time.

Recommended settings includes: selecting ‘HD’ for video quality, and turning ‘Mirror my video’ off.

Zoom Speaker and Microphone Settings

Recommended settings vary from room to room depending on equipment. Example of recommended settings: ‘ExtronScalerD’ for speakers, ‘Microphone (Shure ANIUSB-MATRIX)’ for microphone. Please test speakers and microphone before starting class.

6. Share Screen in Zoom

Sharing your screen in Zoom will allow for both in-person and virtual participants to see your course materials. As this time, there is currently a bug related to Sharing in Zoom (but specific to classroom computers). This bug will make your screen go black when sharing in Zoom. To avoid this bug:

select up arrow next to ‘Share’ on the bottom menu bar in Zoom –> ‘Share Settings’ –> scroll down to ‘When I Share’ –> deselect ‘Show green border around my content’

This bug is specific to the green border displayed around shared content. Removing this will avoid the bug. However, if you find that you forgot to turn this off, simply press the ‘Windows’ key on the keyboard, click back on the screen that is black, and the ‘Stop sharing’ button at the top of the screen should appear. Additionally, it is recommended to share your screen, rather than the specific application, as this issue has been known to occasionally happen with the specific application (even with the green border turned off).
