JMU Libraries Internal Room & Resource Reservations
Note: As of May 11, 2026, Room Scheduler is no longer available. Mazévo is now the Libraries’ internal room and resource reservation system. Any prior reservations in Room Scheduler that were not recreated in the new system cannot be guaranteed. Contact Laura Montanez or Kelly Miller-Martin for support identifying alternate locations if needed.
Mazévo is the new system replacing Room Scheduler for internal room and resource reservations in Spring 2026. Many spaces across the Libraries are reservable in the system by Libraries employees and select building partners. Find a link to the system login page below, as well as support resources, event space policies, and training materials.
Questions?
- Space use and signage questions can be directed to Laura Montanez, Facilities Operations Coordinator: montanlk@jmu.edu
- Technical questions related to the reservation system can be directed to the Libraries Technology team via the IT Service Portal.
Libraries Event Space Policies
- Rooms and resources (ex. passenger vans) are reservable by all Libraries’ full-time and wage employees for work-related use during building operating hours. They cannot be reserved for personal use, after-hours use, or on behalf of another individual for a personal need. Libraries passenger van policies, maintained by the Access & Delivery team, can be viewed here.
- Requests to use Libraries spaces for events not sponsored or co-sponsored by Libraries or CFI must adhere to the JMU Libraries Facilities Use Policy and be submitted through the Space Use Request Form at least two weeks in advance – employees should not place reservations on behalf of campus or community members. These requests are reviewed by Laura Montanez and Kelly Miller-Martin, who coordinate directly with the requester and any impacted Libraries service areas.
- Public spaces are visible to employees in the reservation system but are requestable by default, not reservable. These requests should be submitted at least two weeks in advance and will be reviewed by appropriate staff who will follow up with the requester directly. Examples of public spaces include:
- Building entrances for collection drives
- Lobbies for tabling events
- Rose Library 3rd floor Flex Space for large events
- Some spaces tied to specific services or advanced technologies (ex. A/V studios) are only visible to the employees that have permission to reserve them. If an employee is not seeing a space listed that they believe they should have access to, they should contact Laura Montanez.
- Details related to Libraries classrooms:
- These rooms are not considered university classrooms that may be booked for regular course sessions spanning a semester, even if a Libraries employee is the instructor of record. Instructors should work with the Office of the Registrar to schedule classrooms in academic buildings on campus.
- Libraries classrooms are available to all JACard holders from 5PM-closing each day for quiet study. Libraries events may be scheduled in these rooms after 5PM but other users may swipe in. If an event organizer would like to have signage outside of the room referring users to other study spaces during an evening event, they should contact Laura Montanez in advance.
- Classrooms in the Libraries are reserved strictly for study during all open hours the week before and the week of final exams every Fall and Spring. Very few exceptions will be made to this schedule.
